The Front Office Administrative Assistant position performs a wide variety of office support functions necessary for the success of the organization while serving as the front office contact for visitors and guests. This includes coordinating the company phone system and mobile devices, coordinating the uniform ordering and contract oversight, renewing business licenses, tracking vehicle registrations and insurance, planning company events, and handling internal office communications such as the company newsletter. position will have a high level of proficiency with Microsoft Office programs and Office 365.

This position reports to the Vice President of Operations and is expected to provide the highest quality service to our internal and external customers over the phone, email, and in person. The key objective for this position is to positively interact with customers over the telephone and in person in a professional and helpful manner while providing administrative and office support functions to different company teams.

Work Hours: 7:00 AM - 4:00 PM Monday - Friday, 1 Hour Lunch Break


  • Greets, screens, and directs visitors as required.
  • Serves as primary contact for incoming customer calls and manages multiple calls.
  • Transfer calls to various teams, collect customer information, analyze customer needs, and input calls into digital form.
  • Manages phone system changes, moves, additions, and after-hours service.
  • Orders mobile phones and devices and sets up for employees.
  • Updates business and trades licenses
  • Updates vehicle registrations and insurance certificates and ensures they do not expire.
  • Performs general administration and clerical duties as assigned.
  • Accepts deliveries.
  • Maintains a safe and clean reception area.
  • Monitors and orders office supplies
  • Monitors conference room schedules
  • Creates and publishes company newsletter.
  • Orders uniforms and reviews monthly uniform billing to ensure accuracy.
  • Updates and maintains phone number list and information in the companies TMX system.
  • Plans company events and celebrations with other JPG team members
  • Other duties as assigned.

Minimum Qualifications:

  • Highly organized with high attention to detail
  • Energetic with a positive attitude and advanced customer service skills
  • Ability to solve problems and develop processes to improve office functions.
  • Ability to multi-task, prioritize and manage time effectively.
  • Ability to answer and manage multiple phone calls.
  • Ability to work under pressure.
  • High level of proficiency with Microsoft Office Suite including MSWord, Excel, PowerPoint, and Outlook.
  • Ability to learn JPG CRM systems and practices.
  • Excellent communication skills

Education & Experience

  • High school diploma or higher
  • 3 years of office/customer service experience
