Our client, Grantmakers In Health (GIH) is looking for a highly organized, experienced and trustworthy Program Assistant who will provide support to three or more program staff members to ensure full implementation of specific projects and activities. This position reports to the Director of Meetings and Administration.

Our mission is to foster communication and collaboration among grantmakers and others, and to help strengthen the grantmaking community's knowledge, skills, and effectiveness. 

What a Program Assistant does: 

Provides Program Support including, but not limited to:

  • Conference call coordination
  • Scheduling and calendar management
  • Database support
  • Research
  • Survey creation and management
  • Preparation, production, and distribution of written and electronic documents and presentations
  • Light editing 

Provides Event Management Support:

  • Provides support for various meetings including strategy sessions, workshops, and annual conference sessions
  • Coordinates registration and communications for issue-related webinars
  • Responsible for production of meeting materials and resources
  • Organizes staff and team meetings
  • Notetaking and written summaries
  • Scheduling conference calls
  • Registration, shipping, and mailing
  • Tracks project timelines
  • Provides on-site administrative support at various organizational events, as needed 

Database Support: 

  • Creates events, accesses lists, and updates records

Website Support:

  • Edits, formats, and posts content
  • Responds to user inquiries, comments, and suggestions 

What qualifications a Program Assistant should have: 

  • A minimum of five or more years of relevant administrative experience.
  • Ability to balance multiple competing tasks and manage tight deadlines.
  • Must possess a high degree of reliability.
  • Strong organizational, writing, and communications skills with the capacity to work independently. 
  • Experience supporting multiple staffers is a plus, as is a can-do, all-hands-on-deck attitude, marked by flexibility and collaboration.
  • Proven ability to take initiative in providing a high level of administrative support to professional leadership.
  • Detail-oriented, with excellent problem-solving skills.
  • Knowledge and experience in records management, research, and data gathering techniques. 
  • Proficiency in Microsoft Office; experience using SurveyMonkey, Smartsheets, and GoToMeetings is a plus.
  • Familiarity with web-based applications, including HTML and listservs. Effectiveness in working with a team of professionals in a fast-paced environment with high standards of quality.
  • Sensitivity and respect for racial, gender, sexual orientation and cultural differences.
